Fitness payments — recurring billing that doesn't bleed members.

Gyms and studios live and die on monthly recurring revenue. Tabletop sets up the recurring engine, the failed-payment recovery flow, and the member-retention tooling so the MRR you earn is the MRR you actually collect.

What we hear on the ground.

What we hear from gym and studio operators:

  • 5-8% of monthly recurring billings failing — expired cards, declines, insufficient funds — with no good recovery flow.
  • Members canceling not because they wanted to but because their card declined and the system locked them out before staff noticed.
  • Class-pack and personal-training packages that don't reconcile cleanly between the booking system and the POS.
  • Front-desk drop-in payments and retail (apparel, supplements) running on a separate POS from the membership engine.
  • Processing fees that nobody has audited because the membership platform 'handles all that.'

How Tabletop solves it.

Concrete service layer:

  • Failed-payment recovery built in. Smart retries on failed monthlies, automated card-update outreach, and member-side notifications — before the membership lapses.
  • Card updater service. When a member's card expires or is reissued, the network-side updater pulls the new card automatically. Failed-billing rate drops materially.
  • Class packs, PT packages, and memberships in one system. Bookings, packages, and recurring all reconcile into one MRR view.
  • POS for retail and drop-ins. Apparel, supplements, drop-in classes — all on the same payment infrastructure as the membership engine.
  • Right-sized fees. Recurring debit-card-heavy mix should be priced differently than retail. We benchmark and recalibrate.

The stack we deploy.

Common pieces in a fitness build:

  • Payarc CRM — recurring billing engine, card-on-file storage, failed-payment recovery, payment plans.
  • Calanderise — scheduling and class booking, integrated with the recurring billing engine.
  • Clover — POS for front-desk retail and drop-in payments.
  • Rise CRM — member relationship layer for retention and reactivation campaigns.
  • Payarc CRM — membership signup, recurring billing, card-on-file, class-pack purchases, ACH option.
  • Equipment financing — for studio expansion or equipment refresh.

What you actually save.

Real savings depend on your member count, your monthly recurring volume, and your current vendor stack. Typical surfaces:

  • Failed-billing recovery. A studio with 500 members at $80/month and a 7% failure rate is losing $2,800/month in failed billings. A good recovery flow recovers most of that — $2,000+/month back.
  • Processing fees. Recurring debit-heavy billing should run at lower-than-retail rates. The gap is often 20-50 basis points — meaningful at scale.
  • Member retention. Members who get card-decline lockouts often don't bother to come back. Card updater plus proactive outreach turns 'churn' into 'recovery'.

Illustrative figure ranges only. Actual savings depend on your statement, your card mix, and the program you select.

Questions, answered.

How does failed-payment recovery work?

Smart retries on failed billings (typically 3-5 attempts over 7-10 days), automated SMS and email outreach to the member to update their card, and card-updater integration so reissued and expired cards get refreshed automatically. Most failed billings recover within the cycle without manual staff intervention.

Can class packs and recurring memberships live in the same system?

Yes. Members can have a recurring membership plus class packs plus PT packages plus retail purchases all on the same account. Reporting rolls up cleanly across all revenue types.

Will the system integrate with our scheduling and class-booking platform?

Most major fitness scheduling platforms integrate with our gateway. We confirm yours during the cost analysis call and configure the recurring engine to talk to the booking platform cleanly.

What about ACH for membership payments?

Yes — ACH is a great fit for memberships because the failure rate is much lower than card and the cost per transaction is a fraction of a percent instead of 2-3%. Many studios offer a small discount for ACH and watch a meaningful percentage of members switch over.

How do you handle freeze and pause requests?

Member-side requests to pause or freeze a membership are handled in the dashboard. The recurring engine respects pauses, prorates restarts, and keeps the audit trail clean for staff and accounting.
